Consulting Support Coordinator Job Description and Posting
Base Office Location: San Antonio, TX
Position Overview
National programming and consulting company has a full-time position for a Consulting Support Coordinator responsible for working on projects and tasks related to consulting, troubleshooting, and identifying changes as needed to resolve client and internal requests. Works with CUTEK’s Consulting Team, reporting to the VP of Projects and Consulting to assist in administrative support needs, including booking travel, scheduling, documentation, and related communication as needed. The position will maintain a high level of professionalism and timely to achieve efficient support for clients and internal employees. This position will also serve as the office manager for the San Antonio, TX location and will serve as back-up support to the Project Coordinator during times of PTO.
Position will include analyzing client and internal requests and supporting the VP of Projects and Consulting. This position is based in CUTEK’s San Antonio, Texas offices but will work remotely from home until post-COVID-19 workspace locations are re-evaluated. CUTEK will provide a company use laptop and office phone.

ESSENTIAL FUNCTIONS AND BASIC DUTIES
​

1) Supports clients and/or team members by providing accurate and timely assistance as needed.
2) Responsible for effectively supporting the consulting team to meet our client's information needs.
  • Analyzes and reviews incoming support requests providing initial review and ownership of the request through to completion.
  • Establishes testing procedures for all client deliverables.
  • Ensures that consulting operations are performed in accordance with established standards, policies, and procedures.
  • Documents and logs all work associated with assignments.
  • Responsible for maintaining and establishing high levels of project management with clients.
  • Responds to client and internal requests and ideas and follows through promptly.
  • Resolves problems and concerns. Provides support and training to clients as required.
  • Ensures that solutions meet client requirements and are completed on schedule.
  • Ensures that interactions with clients (emails, phone calls, other meetings) are clear, courteous, and understandable.
  • Communicates as much information as possible to clients, including reasons for problems, project status, and deadlines for all parties involved.
  • Acts as a valued consultant and resource to clients and internal staff.
3) Responsible for establishing and maintaining effective communication, coordination and working relations with staff and with management.
  • Keeps management informed of significant problems and of progress attained in reaching established objectives. Provides recommendations to establish new and more effective programs and future equipment needs.
  • Assist with travel planning and scheduling as needed.
  • Completes records and other required logs and project documents.
  • Attends and participates in meetings and phone calls as required.
4) Responsible for related duties as required or assigned.
  • Stays informed of changes in consulting services and related technology.
  • Ensures that work area is clean, secure, and well maintained.
  • Serves as the physical office manager for the San Antonio, TX office location
    • Administers building access for employees and client visitors
    • Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards 
    • Answering telephone calls and emails from clients and clients and directing them to relevant staff
    • Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required
    • Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
    • Reporting office progress to senior management and working with them to improve office operations and procedures
  • Completes special projects as assigned.

QUALIFICATIONS
  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks
  • Organization and the ability to multitask to complete a wide variety of tasks
  • Flexibility to help them adjust to new tasks should company or office needs change
  • Strong interpersonal skills to interact positively with all employees
  • Leadership ability to manage challenges and oversee employees
  • Attention to detail to ensure tasks are completed thoroughly and correctly
  • Demonstrated working knowledge of Microsoft Office
  • Strong analytical and problem-solving skills
  • Well organized
